All products sold by Essential Travel Limited are bound by these Standard Terms and Conditions and any other product specific Terms and Conditions detailed below
- Data Protection Act
To set up and administer your booking Essential Travel will hold and use information about you supplied by you. It may be sent in confidence for processing to other companies (or companies acting on instructions) including those located outside the European Economic Area.
By purchasing this policy you consent to such use of your personal data.
The data you supply to Essential Travel will be used to contact you through one of our Service Teams, to offer you product and services including 08000 helpme that we feel may be of interest to you. By completing your purchase you consent to such use of your personal data.
- Call Monitoring and Recording
As part of our continuing effort to ensure you receive the highest service standards, we may monitor and record your call for training purposes.
- Bookings
- Bookings through our websites are deemed to be made when you are presented with a booking reference number on a confirmation page on the website.
- Bookings made by telephone are deemed to be made when confirmed by an Essential Travel Limited operator.
- Bookings made by post are deemed to be made when written confirmation is sent from Essential Travel Limited.
- All services are subject to availability.
- Payment
- Payment for a booking made by telephone or on our website can only be made using a valid credit card or debit card.
- If payment by card is declined Essential Travel Limited and the service provider reserve the right not to fulfill your booking.
- All prices are quoted in pounds Sterling.
- When a booking is made using an overseas credit card the card issuer will debit your account in your local currency at the exchange rate applicable on the date of processing. A conversion charge may be applicable. In this instance the card holder must have been a resident in the UK at one fixed address for more than six months.
- All prices are for pre-booking and include VAT at the current rate of 20% .
- Essential Travel Liability
Essential Travel Limited have various websites that trade under Essential Travel Limited and acts as booking agent only for the service provider and is only liable to the customer for losses directly arising from it's negligence in processing a booking.
Travel Insurance Terms and Conditions
- Cancellation
If you decide this policy does not meet your needs you may cancel within 14 days and receive a full refund providing you have not travelled and no claim has been made.
No refund of part used bookings is possible.
- Auto-Renewal of Annual Multi-Trip Policies
To ensure our customers receive continuous cover, Essential Travel operates an auto-renewal process for Annual Multi-trip policies.
Auto-renewal means that your travel insurance policy will be automatically renewed at the end of your policy so that you don't have to worry about remembering to do it yourself.
If you wish to cancel the auto-renewal of your policy please contact us by email, by phone, or by post.
Airport Parking Terms and Conditions
- Directions
Directions to your car park can be found on the car park page on our website as well as in your booking confirmation.
Please be aware that we endeavour to provide correct and up to date driving directions, with correct address and postal codes for car parks. We are not able to take responsibility for reaching your destination or for incorrect directions provided by SatNav or GPS systems.
- 24 Hour Transfers to and from the Airport
Transfers are included in the price unless the airport is within walking distance or not operational 24 hours. Please make sure you have the transfer schedule for your car park. We cannot accept responsibility for missed departure if you arrive at the car park without allowing sufficient time; we recommend that you arrive at least 30 minutes before your check in time.
- Meet and Greet bookings only
Claims for car damage will not be considered unless reported to the car park staff immediately on the return of the vehicle at the terminal and written confirmation is obtained to confirm damage.
- Minimum stays
A minimum stay applies on some car parks. Should you wish to stay for fewer days you can, but the cost of the minimum duration is payable.
- Refunds
Refunds for unused portions of your parking due to late arrival or early departure are not possible.
- Car keys
In the interests of efficient operation you must be prepared to leave your car keys with car park staff if requested to do so.
- Barrier System
Car park barrier systems may require use of your credit card for entry and exit. We will need to send your credit card details to the car park as part of the booking process. This process is secure and will be used for this purpose only.
- Insurance
All parking is subject to the terms and conditions of the individual car park. Parking is always at the owner's risk.
- High-sided or Unusually Wide Vehicles
Not all car parks can accommodate these vehicle types or there may be an extra charge. Essential Travel Ltd act as booking agents for the car parks featured.
- Cancellation, Amendments and Refunds
Bookings can be cancelled up to 24hrs before the day of departure and will be subject to a £5.00 administration charge.
Bookings cancelled on the day of travel or after will be charged at the full cost. Any bookings cancelled less than 24 hours before departure will also be charged at full cost. No refund is available for unused part stays.
Please note: You cannot amend or cancel and Super Saver bookings as per that car parks unique terms and conditions
- Vehicle Safety and Legality
Your vehicle must have a valid tax disc and comply with the Road Traffic Act 1988. The car park reserves the right to refuse entry to any vehicles that:
- Do not display a valid tax disc
- Display a tax disc that will expire while the car is parked at the car park
- Have illegal tyre tread depth
- Are deemed by the car park to be unfit for driving
If you are refused entry to the car park due to any of the 4 reasons set out above you will need to make alternative arrangements to park your vehicle. We cannot honour any refund claims arising from refusal of entry due to any of the 4 reasons set out above.
- Booking Contract
Essential Travel Ltd act as booking agents for the featured car parks. Clients contract directly with the car park. Full copies of terms and conditions are available on request.
Car parks highlighted as Advance Purchase or Super Saver are purchased at a special advance purchase price. Bookings for these car parks cannot be amended or cancelled.
Airport Hotel Terms and Conditions
Essential Travel Ltd have teamed up with Holiday Extras Ltd to provide the best products and the best service. We aim to consistently exceed your expectations, so that when you are booking with us, you can feel confident you're with the best team there is. This section aims to bring important points to your attention. We've tried to make it as brief, easy to read and understandable as possible.
- What to Take With You When You Travel
Please ensure you have your booking confirmation voucher/ and or booking reference with when you travel.
- Problems When Using the Services
If you have an issue whilst at your location, please tell the service provider immediately and give them the opportunity to rectify the problem. If you do not advise the provider at the time it may be difficult to pursue a complaint at a later stage. Our service providers will do their utmost to assist with any given request, however assistance cannot be guaranteed. Please put any outstanding issues in writing (with receipts if appropriate) to: Holiday Extras Ltd, Customer Relations, Newingreen, Ashford Road, Hythe, Kent, CT21 4JF or email us at customerrelations@holidayextras.com, within 6 weeks of your return to the UK.
- Price Guarantee
If you find the same Airport Hotel product for less within 24 hours of booking, tell us and we'll match the price or refund the difference. This guarantee excludes offers conditional on buying other products. If you think you have found the same product for less, we need to know, so please call us but remember that the product you are comparing has to be the same in all respects! The price guarantee does not apply to Hotels with Coach.
- Price Changes
Prices can go up or down; we are committed to providing the highest standards and the best choice of product, at the best prices, so throughout the season we continually review our products and prices. There are likely to be some seasonal special offers and in some circumstances prices may go up before you make your actual booking.
- Credit Card Fee
There is a 2.0% credit card surcharge, with a minimum charge of £1.50 and maximum charge of £4.00 (non-refundable and not applicable to debit cards).
- VAT Charges
All prices are for pre-booking and include VAT at the current rate of 20% . Hotel prices are given in £'s per room per night.
- Cancellations, Amendments and Refunds
If you need to cancel or amend a booking please call 0871 360 2020 or email salesadmin@holidayextras.com
You will be unable to obtain a refund or amend a hotel or hotel-with-parking booking the day before your stay, or anytime thereafter. Where it is possible to cancel a booking and obtain a refund, you will be charged a cancellation fee of £15.
Where any amendment to a booking reduces the total number of rooms or nights required, you will be charged a cancellation fee of £15 per room, per night.
If you park your car before the arrival date/time printed in your booking confirmation then you may have to pay the car park or hotel locally for any additional parking time at their published Gate Rate
If you collect your car before the departure date/time printed in your booking confirmation then you will not receive a refund for the unused time.
If you collect your car after the departure date/time printed in your booking confirmation then you will have to pay the car park or hotel locally for any additional parking time at their published Gate Rate.
- Supersaver, Secret Saver, Non-flexible and Advance Purchase Special Prices
Products booked at these special prices cannot be amended or cancelled, and no refunds can be given.
- Disabled Facilities
Where special facilities are provided, transfer and parking arrangements may not be suitable and rooms are available on a request basis only.
- Directions and Contact Details
Please make sure you have directions to your hotel and the hotel's telephone number. This information is included on your booking confirmation. If you have not received your confirmation you can resend it from here
- Transfers
Transfer prices to and from the airport are stated on our website and your booking confirmation. Please check the transfer details when you get your email confirmation to ensure they are suitable for your flight times.
Port Hotels and London City Hotels do not include any transfers.
- Overnight Parking For Customers Booking Room Only
Check the parking details when booking as not all hotels allow free overnight parking.
- Extra Adults
Some hotels charge a supplement if more than 2 adults share a room - check when booking.
- Standard Rooms
Facilities differ at each hotel, please ensure the room you are booking has the facilities you require before confirming your booking.
- Breakfast
Your confirmation will tell you if breakfast is included in the reservation. Where breakfast is included please check the times it is available. No refund is given for unused Breakfast.
- Leisure Facilities
Where hotels have leisure facilities there may be charges levied and restrictions put on child access. If you want to use the facilities check the detail before confirming your booking.
- Airport Hotels Including Parking
Car parking arrangements vary for each hotel and parking will not always be at the hotel. Please make sure you know exactly what your arrangements are before you book.
Parking is always at the vehicle owner's risk. Hotels' own car parks are unsecured unless otherwise stated. Where a hotel with parking package uses a secured car park, this is clearly stated, and cars are parked subject to the conditions and insurance arrangements of the individual car park (available on request from car park provider). In these cases, you will often park for the night of your stay in the hotels' own car park, which is unlikely to be secured.
Where parking is offered as an 8 or 15 day option or inclusive package, the full 8 or 15 days does not have to be used, but there is no reduction in price if it is not. If you leave your car for longer than the duration included, you are likely to be charged locally by the hotel or car park for any extra days used.
- Car Keys
In the interests of efficient operation you must be prepared to leave your car keys with the hotel, or car park staff, if requested to do so.
- Wake-up Calls
As hotels do not take responsibility for alarm calls we suggest you take a travel alarm. If you miss a flight the hotel will not accept responsibility.
Competition Terms and Conditions
All entries must be completed by the specific date detailed in the competition to be valid entries in the draw.
- Entry Validity
- Number of entries is variable and specific to each unique competition. Details can be found in competition information. You must be over the age of 18 and a UK resident
- By entering the competition entrants agree to be bound by the rules and by any other requirements set out in promotional material
- Submissions containing content and/or language of an explicit or sexual nature of any kind will be removed immediately. We ask all users to please uphold a respectful level of interaction
- Competitions requiring one to upload a photograph warrant that it is the entrants own original work, is not copied, and does not contain any third-party content that you do not have permission to use
- By submitting your photograph entrants give Essential Travel permission to use the image royalty-free, to cut, edit and crop the image and republish in any format. We will give due credit to the entrant when using the image
- Choosing the Winner
- The winner(s) will be decided within 48 hours of the specified end date of the competition
- The winner(s) will be chosen by the EssentialTravel.co.uk social marketing team from entries received and the winner will be notified by email within 48 hours of the actual draw date. If no response is received within 72 hours another winner will be chosen and contacted
- The name(s) of the prize winner(s) will be made available after the draw to anyone sending an email directly to competitions@essentialtravel.co.uk
- The winner(s) agree that their names and any related comments or material can be used in future publicity undertaken by Essentialtravel.co.uk. The decision of the judge is final
- The Prize
- The prize is non-transferable and cannot be exchanged. No cash alternatives will be offered
- Please allow up to two weeks for the postage and package of any prizes
- Essential Travel will make every effort to deliver every prize. If however these remain undelivered and are returned to us due to the courier's standards of practice Essential Travel hold the right to refuse to resend or to reuse any prize
- Essential Travel accept no liability for any injury or damage that comes as a result of acceptance/receivership/participation in any competitions/prizes
- Reserved Rights
- The promoter (EssentialTravel.co.uk) reserves the right to amend terms and conditions of the prize draw or cancel at any time
- Any promotion ran is no way sponsored, endorsed or administered by, or associated with Facebook. You are providing your information to Essential Travel, not Facebook. By entering all participants agree to a complete liability release for Facebook.
- Data Usage
- When an entrant logs in to an Essential Travel App via Facebook they agree to share their data with the promoter (EssentialTravel.co.uk) and any other party involved in the competition.
